See the work you're doing twice

Find the work your teams are doing twice

Two teams solve the same problem in parallel; the same report gets built twice; a process gets rebuilt because nobody knew it existed. It stays unseen because no one person looks across teams. We map where work is duplicated and turn it into a kill, merge, or keep decision — one named owner per survivor. Not a big audit; a focused review.

Who this review is for

B2B

COOs and Heads of Ops who suspect two teams are doing the same work but can't see where.

Growing B2B teams where the same report, list, or check now gets produced in more than one place.

Ops leads who inherited overlapping processes after a merge, a reorg, or a stretch of fast hiring.

Founders who suspect they pay for the same work twice but have no way to prove it or decide what to cut.

Teams that keep re-keying the same data between tools because no one owns the version that counts.

Common pain points

Why duplicated work stays unseen

Two teams built the same weekly report from the same data — and neither knew the other existed.

The same customer gets chased by two people, because follow-up lives in two places.

Someone rebuilt a process from scratch because the original was undocumented and unseen.

The same data gets re-keyed between tools, because no one owns the version that counts.

Nobody sees the duplication, because no single person looks across teams and tools.

You suspect you pay for the same work twice, but can't point to where — so nothing gets cut.

Turn duplicated work into a kill, merge, or keep decision

This is a focused review, not a big audit. We map where the same work happens in more than one place — the same recurring output, the same step in two workflows, the same data entered twice. To find it, we look at how work actually flows through your tools, handoffs, and recurring deliverables. AI surfaces the candidate duplications a person would miss; a person then makes one call per duplicate: kill it, merge the two into one, or keep both on purpose. Each survivor gets one named owner. We cut duplicated work, never roles, and AI never decides what to cut — it brings the duplication to light so a person can decide. The deliverable is a decision per duplicate with the reasoning, not a report that gathers dust.

How we work

  1. 1

We map how work actually flows — recurring outputs, handoffs, tickets, the data that moves between tools — so the duplication has somewhere to show up.

  2. 2

We connect AI to surface candidate duplications: the same output produced in two places, the same step in two workflows, the same data re-keyed. A person confirms which are real.

  3. 3

For each confirmed duplicate, a person decides kill, merge, or keep — and names one owner for the survivor. We hand over the decisions and the reasoning, not a backlog.

What we deliver

What's included in the review

Area 1

A map of how work actually flows

We map the recurring outputs, handoffs, and cross-tool data movements where duplication hides — because the same work done twice never shows up on an org chart. The map is what gives the duplication somewhere to surface.

Deliverable

A flow map: the recurring outputs, handoffs, and cross-tool data movements where duplication hides.

Area 2

AI-surfaced candidate duplications

We connect AI to flag the duplications a person scanning one team would miss — the same output produced in two places, the same step inside two workflows, the same data re-keyed between tools. AI proposes; a person confirms which are real before anything is decided.

Deliverable

A list of candidate duplications — same output in two places, same step in two workflows, same data re-keyed — for a person to confirm.

Area 3

A kill / merge / keep decision per duplicate

For each confirmed duplicate, a person makes one call: kill it, merge the two into one, or keep both on purpose (sometimes two teams should run the same check). The deliverable is the decision and the reasoning — not a list of findings that never gets acted on.

Deliverable

A decision per confirmed duplicate — kill, merge, or keep-on-purpose — with the reasoning behind each call.

Area 4

One named owner per surviving process

Every process that survives the review gets one named owner — a person, not "a team" — so it doesn't quietly fork into two again the next time someone can't find it. The owner is how the decision holds after we're gone.

Deliverable

A named owner for each surviving process, so it doesn't quietly fork again.

Area 5

A boundary: what this review is and is not

This reviews duplicated work — it is not the AI workflow audit (that decides what to automate vs keep human), not a headcount-reduction or reorg exercise, and not business-process re-engineering. We cut duplicated work, never roles. We write the boundary and cross-link the adjacent work so nothing gets conflated.

Deliverable

A written boundary + cross-links: where this review ends and the workflow audit / automation begin.

Area 6

A light re-check cadence so duplication doesn't creep back

Duplication comes back when teams grow and people can't see across them, so we set a light re-check on a rhythm — and name who runs it — to catch new duplication before it spreads. The goal is that the review holds, not that you need us again in six months.

Deliverable

A light re-check cadence and the owner who runs it, so new duplication surfaces before it spreads.

You can finally point to where the same work is done twice — with a map, not a hunch.

Each duplicate gets a decision, so the waste actually gets cut instead of just noted.

Every surviving process has one owner, so it doesn't quietly fork into two again.

AI surfaces the duplication a person would miss; a person keeps the decision about what to cut.

You stop paying for the same report, list, or check to be produced in two places.

It's a focused review with a clear scope — not a transformation project, and not a big audit.

Answers before you start

Isn't this the same as your AI workflow audit?

No — they answer different questions. The AI workflow audit decides what to automate, keep human, or hand back. This review decides where you're doing the same work twice and which copy to kill, merge, or keep. One is about automation; this is about duplication. Many teams need both, but they're separate engagements.

Do you cut people's jobs?

No. We cut duplicated work, not roles. When two teams do the same thing, the point is to stop paying for the work twice and give the survivor one owner — not to remove a person. What happens to the freed-up time is your call, and it usually goes to the work that was being neglected.

Does AI decide what to cut?

No. AI surfaces the candidate duplications a person would miss — the same output in two places, the same data re-keyed — and a person decides kill, merge, or keep. The rule that AI never decides what to cut is written into how we work, because cutting a process is a judgement call about your operation, not a model's.

What does this review NOT include?

It is not an automation audit (that is the AI workflow audit), not a headcount-reduction or reorg exercise, not business-process re-engineering, and not a context-consolidation project (that is about scattered information; this is about duplicated work). It also is not a report that gathers dust — the deliverable is a decision per duplicate.

How is this different from just documenting our processes?

Documentation lists what you do; it does not tell you where you are doing the same thing twice or what to cut. This review is aimed at the duplication specifically, ends in a kill / merge / keep decision per duplicate, and names an owner for each survivor. If you have no process documentation at all, we will say so and scope that first.

Does this work if my team is mostly Spanish-speaking?

Yes. It is built for bilingual EN/ES teams — the flow map, the duplications, and the decisions are delivered in both languages if your team operates in Spanish. The same analysis applies regardless of language.
