AI lead follow-up for real estate teams
We set up lead follow-up on your CRM or a straightforward contact record. It brings together inquiries from the channels we connect and, under the rules we agree with you, can send the first message, leave it ready for review or alert a person. When it detects a reply or appointment request through one of those channels, your team receives the context and continues the conversation.
- Bring in the inquiry
- Assign who handles it
- Send or prepare the message
- Stop when needed
Pass the conversation to the team
The short answer
What is an AI lead follow-up system for real estate?
It brings inquiries from connected sources into one place. Under the agreed rule, it sends the first message, leaves it ready for review or alerts a person. When it detects a reply in that flow, it passes the context to your team.
We set it up on your CRM if it fits the job. If not, we prepare a straightforward contact record with you before connecting follow-up.
Does this happen in your business?
For real-estate agencies and teams that receive leads through several channels
Your team receives leads through more than one channel and cannot always reply straight away.
You want to automate straightforward replies without losing control of important conversations.
Before it goes live, we decide these points with you
- Which sources we connect and where each lead is kept
- Which messages may be sent automatically and which need review
- Who handles replies, appointments, opt-outs and unusual cases
Before and after
What changes day to day
The first reply and the follow-up depend on someone seeing the message, gathering the context and remembering to continue.
- BeforeAn inquiry arrives while you are busy.AfterUnder the agreed rule, the first message is sent, held for review or a person is alerted.
- BeforeReplying means searching several places for the details and messages.AfterThe contact record brings together the details and messages available.
- BeforeThe lead replies or asks not to be contacted.AfterIf the reply arrives through a connected channel, the system stops the messages it controls and alerts the assigned person.
- BeforeIt is hard to see which lead needs attention.AfterEach lead shows who owns it and what needs to happen next.
We design the system around one real lead
We review a recent inquiry with you and decide what should happen from the moment it arrives: where it is kept, which message may be sent automatically, what needs review and when to alert a person. We then set up the connections, messages and rules on your CRM or a straightforward contact record. Before it goes live, your team reviews the complete flow.
- Your channels and the way your team replies today
- Follow-up configured for your team
- Sources connected to the chosen CRM or contact record
- Automatic messages, drafts and stop rules
- Assigned people, alerts and conversation handoff
- Automatic or ready to reviewA person continues when needed
Leave the system with your team
The system we leave running
- Sources and contact recordWe connect the chosen sources to the agreed CRM or contact record and define which details enter from each one.
- Messages and rulesWe configure the first message and follow-up: what sends automatically, what needs review and when it stops.
- Assignment and alertsWe define who receives each lead and which replies, appointment requests or exceptions detected in the flow trigger an alert for the team.
What stays with your teamYour team keeps the configuration, messages, rules and a guide for reviewing or changing the follow-up after delivery.
What happens when a lead arrives
Bring in the inquiry
When a lead arrives through a connected source, we keep their details, where they came from and the information available for choosing the first action.
Assign who handles it
We update the contact record or create one. The agreed rule assigns a person and an action: reply, call, review or close the follow-up.
Send or prepare the message
An acknowledgement with approved information may be sent automatically. If details are missing or the case needs judgement, the message remains a draft or goes straight to a person.
Stop when needed
When a reply or opt-out comes through a connected channel, we stop the pending messages controlled by the system and record what happened.
Pass the conversation to the team
When a reply or appointment request arrives through a connected channel, the assigned person receives an alert and the available context. The exceptions we agree also go to a person.
Real estate agencies
We start where your leads already arrive
Property portals and forms
We check which sources can be connected. For the others, we agree how to add the leads: by email, from an export or with a straightforward contact record.
Calls, viewings and events
We set up a quick way to add the lead so follow-up does not depend on a loose note.
Referrals and introductions
If the lead comes through a referral, the first step can be assigned to a person instead of sending an automatic message.
Questions before we start
Which messages can be sent automatically?
An acknowledgement or message with approved information may be sent automatically when the source provides the details needed and the agreed rule allows it. If context is missing or the case needs judgement, it remains a draft or goes to a person. We do not apply the same automation to every lead.
Do we need to have a CRM already?
No. If your current CRM works for the job, we use it. If you work from inboxes, spreadsheets or other tools, we set up a straightforward contact record with you. Any extra tool or licence will be shown separately in the proposal.
How do consent and opt-outs work?
Each channel supplies different information. With your agency, we define what information must be present before a message is sent and which signals require the flow to stop, such as an opt-out. We put those rules in writing; they do not replace legal review or your brokerage's policies.
What happens when a lead replies or asks to book?
If the reply arrives through a connected channel, automated follow-up stops. The assigned person receives the available context, confirms the appointment and decides what to do. AI does not negotiate or promise anything on their behalf.
Can this work with old leads as well as new inquiries?
It can, but we first check which people may be contacted again and which should be left out. We do not switch on the same series of messages for the whole database.
Do you promise more appointments or a higher conversion rate?
No. We can organise follow-up and remove manual steps, but we cannot promise how many people will reply or close a transaction. We measure whether the process works as agreed, not commercial results we do not control.
A free 30-minute first call
Tell us where your leads arrive today and which part of follow-up you want to automate. In 30 minutes, we will review one case, separate what may run automatically from what needs a person and explain what we would set up first.
- Free, with no obligation to hire.
You will have a person on the other side
Beatriz leads the diagnosis and follow-up design. She will help you decide what should be automated, what a person should review and how to leave control with your team. If another person is involved, you will know who they are and which part they handle.
